SPEOS PERSONAL DATA COLLECTION AND PROCESSING POLICY

Respecting privacy is a matter of great importance for SPEOS. We process the personal data of all our stakeholders with due care and with due regard for the legislation applicable to the collection and processing of personal data, including the General Data Protection Regulation (GPDR).

This policy applies to (i) all natural persons who share their data with SPEOS, regardless of whether the natural person is a customer, supplier, prospect, visitor to our production sites, auditor or otherwise, and (ii) any natural persons whose personal data are shared indirectly with SPEOS by a SPEOS customer as part of the provision of service subject to a regulatory framework (e.g. recommended mail).

  2. What personal data do we process? Depending on the situation, to be able to provide the agreed services and/or notify you of the services provided by SPEOS, SPEOS collects and processes the following personal data: last name, first name, job title, full address, phone number, email address, mother tongue, login, password, reference of the company you work for. SPEOS also registers the images of its visitors on its production sites by means of surveillance cameras. However, SPEOS endeavours to limit the data collected to those data needed for its purposes. The surveillance camera images are kept for a limited term and are only looked at in the event of an incident.
  3. Legal basis for data collection SPEOS collects your data with a view to the performance of a contract if you have ordered a product or service. If your data are collected and/or used for the provision of a service subject to a regulatory framework (such as registered email), the legal basis for processing is a legal obligation. Lastly, SPEOS refers to its legitimate interest for the surveillance of its production sites, which also assures the secure storage of your data. If you have never been in contact with SPEOS and you are not potentially interested in SPEOS products and/or services in a professional capacity, SPEOS will ask for your consent to process your data. You may of course withdraw this consent at any time.
  4. Who do we receive your personal data from? In principle, SPEOS receives your personal data directly from you. However, your personal data can reach SPEOS in other ways: by way of a member of your family, as part of the performance of a contract of one of our customers, in connection with searches in public sources, such as websites, Moniteur belge/Belgisch Staatsblad and LinkedIn, through the purchase of data from third parties, such as a prospection database to which you have given your consent, during work-related conferences or events connected with SPEOS activities.
  5. Why do we collect your personal data?SPEOS uses your data for these purposes: provide the services requested by its customers in fulfilment of its contractual obligations, answer your questions about its products and services, notify you of new services, …
  6. Sharing your personal data with third parties. SPEOS will only share or sell your data with third parties in exceptional circumstances (such as an obligation imposed by law). However, some third parties may occasionally process your personal data for the provision of services of a technical nature, such as providers of computer services (subcontractors). In this case, the subcontractor is subject to the personal data processing conditions set out in this document. In any event, your personal data are never processed outside the European Union.
  7. Your rights: accessing, rectifying and erasing your personal data In the circumstances and subject to the conditions provided for in the applicable law, as a data subject you can: request access to and/or a copy of your personal data as they are stored in the SPEOS databases; request rectification or erasure of your data on the condition that this does not make it impossible for SPEOS to provide the services; oppose the processing of your personal data or request the restriction of this processing due to your specific situation, except in the event of sales prospection, which you can oppose without stating a reason; request that your personal data be transmitted directly to another service provider if the data are processed in an automated manner, based on prior consent or the performance of a contract. SPEOS can ask you to provide proof of identity before acting on your request. The personal data are erased from the SPEOS files no later than the end of a term of 5 years commencing at the end of the contract or one year after the absence of your response to a communication or contact with SPEOS.
  8. Data security SPEOS runs secure servers and only authorised persons are able to process data. All data collected will be processed confidentially by employees bound by confidentiality obligations. This personal data collection and processing policy is updated regularly. SPEOS therefore invites its visitors and contacts to check this link regularly.
