Facilities Assistant

Responsibilities

As Facilities Assistant, your responsibilities will be to :

  • Be responsible for the administrative and operational management of the Speos Belgium vehicle fleet (new vehicles, trade-ins, short-term, inventory, fuel cards, etc.).
  • Manage stocks and orders for consumables and other items (paper, cleaning products, clothing, tools, etc.).
  • Updating management charts (meter readings, consumption, service performance indicators, etc.).
  • Creating databases/files for the smooth running of the department.
  • To be responsible for monitoring statutory audits, reminding suppliers and planning audits.
  • Collecting and processing incoming and outgoing mail from General Services.
  • Processing maintenance reports and statutory audits for follow-up and filing.
  • Managing server files for Facilities and Fleet.
  • Contributing, in collaboration with the Facilities Manager, to the identification and implementation of opportunities to improve the department’s administrative procedures.
  • Monitoring and evaluating (performance and quality) General Services suppliers.

Profile

As a Facilities Assistant, you will have :

  • Initial experience as an administrative assistant.
  • Experience in an industrial environment is a plus.
  • A good knowledge of the Microsoft Office suite and an affinity with IT tools such as Navision is a plus.
  • A good command of French and Dutch.
